Privacy Policy

This Privacy Policy describes how KirokuKit collects, uses, and shares information when you use our website and services ("Service").

1. Information We Collect

1.1 Anonymous Usage Events

We collect anonymous usage events to understand how the tools are used. Each visitor is assigned a random anonymous identifier stored in your browser's localStorage under the key rg_anon_id (value format: rg_anon_XXXX). This identifier is not linked to your name, email address, or any personally identifying information.

The events we currently collect are:

• tool_viewed: when you open a tool page
• tool_calculated: when you run a calculation, reconciliation, or batch rename, or generate a filename
• tool_reset: when you reset a tool form to its default state
• ics_downloaded: when you download a calendar reminder file
• filename_copied: when you copy a generated filename
• text_downloaded: when you download a generated result (text, CSV, or ZIP)
• upgrade_clicked: when you click a link to the BOOTH product page

The additional details sent with these events are limited to non-identifying technical information: the event type, the tool or (for validation experiments) experiment identifier, a flag indicating whether it is the operator's own test, counts describing the scale of processing (for example the number of rows or files processed, or exceptions or duplicates detected), the page path, display language, device class (mobile / desktop), the referring site's domain name (host only, not the full URL), and campaign parameters indicating the traffic source (UTM), and labels indicating a selection or category (for example document type, link placement, processing stage, trial length, or renewal cycle). We never send or store the values you enter yourself or the contents you generate, such as service names, amounts, currencies, names, counterparty names, invoice numbers, individual CSV cell values, or generated filenames.

These events are stored in our database and used only for internal analytics. We do not disclose event data to third parties or use it for advertising.

1.2 Information Submitted Through the Contact Form

If you use the contact form, we collect your name, email address, and the content of your message. We use this information to respond to and keep a record of your enquiry. When you submit the form, Cloudflare Turnstile performs an automated-submission check, and Resend is used to deliver the message by email (see Section 6).

1.3 Account Information

We are not currently accepting new account registrations. For accounts that already exist, we hold the email address and the information provided at sign-up. We use Supabase for user authentication.

Because we do not provide a feature that saves calculation or generation results to an account, we do not hold any such data.

2. How We Use Your Information

• To provide and improve the Service
• To calculate free trial end dates, generate ICS calendar files, and generate filenames
• To understand anonymous usage patterns via anonymous events
• To respond to and keep a record of enquiries
• To prevent unauthorized access, automated submissions, and spam, and to keep the Service secure
• To authenticate existing accounts

3. ICS Calendar Files

When you download an ICS calendar file, it is generated in your browser and downloaded directly to your device. We do not store copies of downloaded ICS files. Notifications and reminders from ICS files are handled entirely by your calendar application.

4. Data Retention

• We retain the information we collect for as long as necessary to achieve the purposes described above.
• Except where retention is required by law, we delete information once it is no longer needed for those purposes.
• Enquiry content is retained for as long as necessary as a record after the enquiry has been handled.
• Data for existing accounts is retained until you request deletion of the account.
• This section describes information held by us. Information retained by the external services listed in Section 6 under their own terms and policies is governed by those companies.

5. Cookies and Local Storage

Our servers do not issue a cookie merely because you visited the site. What may be stored in your browser is the anonymous identifier and session identifier (localStorage), your language preference if you use the language switcher, and an authentication cookie if you sign in to an existing account. We do not use any third-party advertising or tracking cookies, or any third-party analytics tools (tags or SDKs). See the Cookie Policy for details.

6. External Services and Processors

We do not sell your personal information. To the extent necessary to operate the Service, we entrust processing to, or transmit information to, the following providers. All of them are located outside Japan (primarily in the United States), so information may be processed abroad.

Each provider handles information under its own privacy policy and data processing agreement, and may in turn engage further providers for part of its operations. We do not currently use a payment service, so no information is transmitted from us to a payment provider.

7. Retained Personal Data and Requests for Disclosure

In accordance with Japan's Act on the Protection of Personal Information, we make the following information available regarding retained personal data:

• Name and address of the operator: these are not published on this website. If you request them at support@kirokukit.com or through the contact page, we will answer by email without delay.
• Purposes of use: as described in Section 2.
• How to make a request: contact us at support@kirokukit.com or through the contact page.
• How we verify identity: when making a request, please provide details we can match against the information we hold (for example the email address you used for an enquiry, the email address of an existing account, or the value of your rg_anon_id identifier). If we cannot confirm that you are the person concerned, we may be unable to act on the request.
• Fees: we do not charge a fee for disclosure requests.

You may request notification of the purpose of use, disclosure of retained personal data, correction, addition or deletion of its content, and suspension of use, erasure, or suspension of provision to third parties. We will review the request and respond without delay in accordance with the law.

8. Security Measures

To prevent leakage, loss, or damage to the information we collect, we use encrypted communication (HTTPS), restricted access permissions, row-level access control in the database, and management of credentials through environment variables. We also keep the information we handle to a minimum by designing the tools so that the values you enter are never transmitted or stored.

9. Purchases Through the External Store

Paid products are sold only through BOOTH, an external store operated by pixiv Inc., and the purchase, payment, and delivery all take place on BOOTH. Information you provide to BOOTH when purchasing is handled under BOOTH's privacy policy, and we do not receive purchasers' names, addresses, or payment details.

10. Children's Privacy

The Service is not directed at children under 13. We do not knowingly collect personal information from children under 13.

11. Changes to This Policy

We may update this Privacy Policy at any time. The "Last updated" date reflects the most recent revision. Continued use of the Service constitutes acceptance of the revised policy.
